Privacy Notice for Broadland Food Innovation Centre (BFIC)
What this document is for
This privacy notice provides details on how we, Broadland District Council (“the council”), use your personal information for the purposes of providing services and information to; and communicating with businesses (primarily food and drink) about the services, facilities and business support available at the Broadland Food Innovation Centre (BFIC).
By ‘use’ we mean the various ways it may be processed, including storing and sharing the information.
The Council is what is known as the ‘Data Controller’ for your data, and act as independent and sole data controller.

What we use your information for
Broadland District Council will use your information in the following ways, dependant on your engagement with the Council/BFIC:
Advice, Guidance & Updates
- To provide advice and guidance in relation to developing and growing food and drink businesses and any other businesses in the supply chain who wish to engage with food and drink businesses linked to the BFIC.
- To provide regular emails regarding relevant business and industry updates, business newsletters, invitations to business events, breakfast meetings, business awards and any other information relevant to your business.
- Manage visits to the BFIC and detect, deter and prevent crime and disorder at the site.
For current and potential hirers and tenants:
- Contact you to provide information on availability and opportunities to lease a BFIC unit; take up virtual tenancy; hire professional kitchens or the meeting room.
- Communicate with you regarding your tenancy and related matters
- Process and manage tenancy applications; create and manage tenancy agreements thereon.
- Process payments and deposits
- Carry out necessary maintenance and repairs
For suppliers
- Assess and maintain contracts or similar agreements entered with Broadland District Council in relation to the BFIC where you are a supplier of services.
What personal data we collect and use about you
We will collect and use the following information in relation to yourself, others connected to your business, and visitors to the BFIC:
General
- Contact Information - this could include your name, property address, email address, and telephone number(s)
- Job titles
- Car registration and CCTV footage for visitors to the BFIC
For tenants only
- Details of previous tenancies
- Details of any previous instances of arrears (if applicable)
- Credit references
- Financial/employment circumstances for Income, Capital, and equity (including companies house records)
- Food hygiene inspection details
For suppliers of goods & services:
- Business Information - this could include your VAT Registration, NI Number, HMRC Self Employed registration number, Companies House No. UTR Number
- Bank account details
- Insurance details
Who provides this information
We receive most of this information from you and others at your business, but we may also obtain some of this data from the following agencies where relevant:
- Other local authorities
- Other internal council departments
- Credit Reference Agencies
- Previous landlords
How we share your information
Hethel Innovation act as the Council’s Data Processor and process your data on behalf of the Council in relation to the following services:
- Management and operation of BFIC; and
- Innovation Support, working with concept, start up and established Food or Drink SME’s to deliver a range of business support services.
With your consent, we may share your data with the Council’s Economic Growth (Business Advice) team to provide you with business support.
In relation to hirers or tenants, we may share your data with:
- The Council’s debt recovery agency in the event of non-payment.
- Contractors or maintenance providers for repairs and services related to the property including BFICs security and fire company providers
- Food Enterprise Park (for main gate access)
- Environmental Health
- Building Control
- Business Rates
How the law protects you and the legal basis for processing your information
We have legal grounds under the UK GDPR to process the information outlined in this Notice as follows:
- Contractual in relation to property leases
- Consent in relation to sign-ups to receive newsletters
- Public task (processing is necessary for us to perform a task in the public interest or for our official functions, and the task or function has a clear basis in law) in relation to CCTV at the BFIC
- Legitimate interests in relation to all other processing outlined in this Notice.
How long will we keep your personal information for
In relation to tenants, the information you provide will be held securely by us for a period of no longer than 12 years in relation to your lease.
With regard to hirers, the information you provide will be held securely by us for as long as we have a reasonable need for managing our relationship with you, or for no longer than one year following your final contact with us.
For Business Support services, the information you provide will be held securely by us for a period of no longer than 3 years.
For suppliers, we will retain your data for 6 years from the time you cease to be a supplier to the Council.

How we keep your information
The information is stored electronically, on both the Council’s and Hethel Innovation’s network including records management systems.
Changes to this notice
We may amend this privacy notice at any time so please review it frequently. The date below will be amended each time this notice is updated.
